Welcome to Risal Systems LLC ("we," "our," or "us"). We respect your privacy and are committed to protecting your personal data. This Privacy Policy will inform you as to how we look after your personal data when you visit our website (regardless of where you visit it from) and tell you about your privacy rights and how the law protects you.

2. The Data We Collect About You

We only collect and use personal data that is necessary to follow up with you regarding potential or ongoing projects. This may include:

  • Identity Data: includes first name, last name, and title.
  • Contact Data: includes email address and telephone numbers.
  • Message Data: includes details about the projects or inquiries you submit through our contact forms.
  • Chat Data: includes the messages you send to our chat assistant, its replies, and a randomly generated session identifier.
  • Booking Data: includes the appointment details you provide if you book a consultation.

We do not ask for any Special Categories of Personal Data from you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Please do not include this kind of information in the contact form or the chat.

3. How We Use Your Personal Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • To follow up with you regarding an inquiry or a potential project.
  • To perform the contract we are about to enter into or have entered into with you.
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.

4. Analytics

We may use third-party analytics tools, such as Google Analytics, to measure website performance and collect other measurable metrics (such as page load times, visitor counts, and generalized geographic information). We review this data in aggregated form and use it exclusively to improve the performance and user experience of our website. It isnot used to collect, identify, or share individual client data. 5. Cookies

Our website uses cookies — small text files stored on your device — to help us understand how visitors use the site. When you visit our website, we set the following Google Analytics cookies automatically. We do not currently ask you to accept or decline them before they are set:

  • _ga — distinguishes unique users. Expires after 2 years.
  • _ga_[ID] — maintains session state. Expires after 2 years.

These cookies assign a randomly generated identifier to your browser so that we can recognize repeat visits and group your activity into sessions. Google Analytics uses them to report information such as the pages you view, the site that referred you, your device and browser type, and your approximate location. We use this information in aggregate to understand and improve our website, and we do not use it to identify you personally. If you use our chat assistant, Riley, it also sets a sessionId cookie so that it can keep your conversation together and apply usage limits. It expires after 24 hours.

By continuing to use our website, you acknowledge and accept our use of these analytics cookies as described in this policy. If you do not want these cookies, you can block or delete them through your browser settings, install theGoogle Analytics Opt-out Browser Add-on , or stop using the website. 6. Our Chat Assistant (Riley)

Our chat assistant, Riley, is an AI assistant powered by Anthropic's Claude. When you use it, we record your messages and Riley's replies, along with a randomly generated session identifier, so that the conversation can continue and so that we can follow up on your inquiry. If you choose to share your name, email address, phone number or project details, or to book a consultation, we store that information and use it to contact you about your project. We do not add you to a mailing list or text list.

To provide the chat, service providers process your information on our behalf, including:

  • Anthropic — generates Riley's replies from your messages.
  • Voyage AI — turns your message into a numerical form used to search our knowledge base.
  • Supabase — stores conversation and inquiry records.
  • Upstash — holds short-lived counters used for usage limits and abuse protection.
  • Netlify — hosts the chat service.
  • Cal.com — schedules your consultation if you book one.
  • Lark — sends emails about your inquiry or booking, including notifications to our team.
  • Google — runs a reCAPTCHA check if our abuse protection asks you to complete one.

If you ask Riley to look up a business or a website, the business name or web address you type is sent to Google's Places or PageSpeed Insights services to retrieve public information. Our servers may also log your IP address when our security protections are triggered.

We do not sell your information. Please do not share sensitive information, such as financial account numbers, health information or passwords, in the chat. We keep conversation and inquiry records for as long as we reasonably need them to respond to inquiries and maintain our business records. To ask us to access or delete a conversation or inquiry record, email info@risalsystems.comwith the approximate date and time of your chat, and we will make reasonable efforts to locate and delete it.

7. Disclosures of Your Personal Data

We do not sell, rent, or trade your personal information to anyone else. We treat your data as strictly confidential and only share it with trusted third-party service providers (such as hosting providers or form processors) strictly to facilitate the operation of our website and services, under strict confidentiality agreements.

8. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know.
